Fieldpine Ingest gives you a custom email address that receives email, reads and decodes the contents, and updates into your Fieldpine system.
Use Cases
Operational Flow
The flow chart below may help explain how the service works internally and how our variable pricing works. Variable pricing can be harder to understand, but doing it this way lets us process common/simple email at volume and very low cost, while charging more in cases where we actually incur more cost
Email sent to your-account@meetu4.com | |
⇓ | |
Fieldpine discard obvious SPAM and Virus laden documents | No charge |
⇓ | |
Assigned to your account for account specific processing | Cost 1/10th cent per email received. Emails bigger than 200Kb are charged 1/10th cent per each 200Kb block |
⇓ | |
Allowlist and Denylist checked | Denied email senders are discarded, no further charges |
⇓ | |
Is it Transmission Confirmation? | If yes, your system is notified and email discarded. The first 1000 per month are free. |
⇓ | |
Is this a duplicate? Duplicates can happen if you send multiple times for whatever reason. If it is a duplicate, has the decoder improved? If yes, send to decoding engine. Otherwise discard the email and stop. |
No further charge if exact duplicates detected. A duplicate is if the exact same document is sent, eg the same PDF. Sending a PDF and also a photo of the PDF are not are duplicates at this stage. |
⇓ | |
Decoding Engine - Simple Is the email trivially decodable? Such as out of office replies, common automated messages from 3rd party applications. |
4/10th cent. Your server is advised if needed and email discarded |
⇓ | |
Decoding Engine - Analysis One The email and its attachments are sent through various bits of technology, Converters, OCR (image recognition), text analysis, etc. We may send attachments to trusted 3rd party providers to assist us as this time (eg Microsoft, Amazon AWS, etc) |
2.2 cents per page |
⇓ | |
Decoding Engine - Analysis Two
Using the output from Analysis One, do we reasonably expect further analysis will help? |
If processing stops at this step, the email is stored and processing flow ends. |
⇓ | |
Decoding Engine - Analysis Three
The main work horse. We attempt to make sense of the whole email and its contents. Generating computer friendly output |
Price varies depending on who, what and how hard it was for us to process.
Typically the price is a maximum 12.8cents/page, but some common formats or low risk documents may be charged less.
Tips:

Email Stored | Stored emails are charged based on total Gb/month. The default retention period is 10 years as these are often Tax records. |
FAQ
- How is this different to other email processing solutions?
- Privacy, Security, Who reads my emails?
-
Our developers may read your emails in order to enhance the service. This only happens if our processing engine detects something is wrong and we do not
read all your email. Only trusted employees are given this access. For example, if we receive an invoice PDF, and detect that something is wrong, a developer might
look at the invoice to make improvements. We do not care about the emails beyond this technical analysis. Since our goal is 100% accuracy and mistakes can cost time and effort
downstream, then we need to investigate when issues are detected.
You can opt-out of this and then we will not check documents that do not process fully. You may also opt-in to the inverse and indicate our developers can freely read/check your emails for development purposes.
However, if we notice your emails are for serious illegal activity (child pornography, human trafficing, etc) we reserve the right to contact authorities.
- My document wasn't understood
-
Fieldpine Ingest is primarily focused on high accuracy output, so we err on the side of doing nothing rather than guessing. Documents that
aren't understood may be routed to developers to review. Developers choose documents to work on based on volume sent and expected effort. We do not
investigate every one-off document we receive.
You can request and pay Fieldpine to prioritise a document. You might do this if being able to ingest specific document format is important to you.
- If suppliers send a catalog every day, won't that cost me a lot?
-
If suppliers are emailing their product catalog to you every day, then you will pay per page in that catalog. So, if they send say a 20 page catalog every day at midnight,
then you will be charged 20pages x max 15cents/page = $3/day (plus 1/10th cent for the whole email)
However, if the document they send is exactly identical, then you will only be charged on days that it changes. You are charged for all pages, not only individual pafges that changed.
Catalogs can often contain "available in stock" though, so they often change every day. We will try and spot this combination of frequent sending, same document, but slight changes and many pages. We might try and see if we can optimise ourside, and if possible will reduce the cost of "decoding engine analysis three". You can also request and pay a one off fee for us to do this.
- I'm in a Franchise, are we all charged for supplier sending the same pricebook to all of us?
-
Generally no. When we check for duplicates we actually check if this is a duplicate for you, or generally across everyone. If it is a duplicate we've seen for another account holder, then it is treated as "Decoding Engine Simple" and subsequent accounts are only charged at that step.
So, the first time we see the document it will be charged fully, subsequent receivers will not pay the higher decoding steps. We process in parallel over several servers though, so we might fully charge a couple of accounts occasionally - getting the reduced price is not guaranteed.
